The Microsoft Whiteboard is really a perfect virtual solution. The tool can be used by any user, and whoever has the Microsoft paid or free account can use it. It comes with the subscription of Microsoft 365. Using the Microsoft Whiteboard is fairly easy, although you can use it through a Whiteboard web app or client. How to Share a Board with Someone
- For sharing the Whiteboard with an individual user, just launch the Whiteboard client and tap the blue invitation icon for inviting someone.
- Now at the invite section, it will show to type the name of the user with whom you are willing to share, or simply choose the name of another user from “Suggested contact” list.
- Once you choose someone, they will be allowed to edit on board. Simply, that user can edit the written content on the board. Along with it, the invited user can also share it with any other user as well and also be allowed to rename the content.
- However, if you don’t want to provide these types of authority, you can tap on the “Pen” icon near the “Can Edit” option to change the authority into the “Read Only” option.
- Now, tap “Invite.”
- Now the user with whom you have shared the Whiteboard will be given an invitation through email by link. So when the invited user clicks on the link, it will take the user to Whiteboard.
- Now the Whiteboard will show up the whiteboard app front page to access that.
- If you don’t want someone to share the board with anyone else, you need to move to the whiteboard client’s front page. Tap on the three dots near the board that you don’t want anyone to share, and tap on “Invite Participants” option.
- Tap on three dots on the side of the person you wish to stop sharing, tap on “Remove Participants.”
By following the procedure, the following person will no longer be able to access the whiteboard app. and the invitation link they previously received will not work anymore.
How to Share Board with Multiple Users
- To share the board with multiple people, you need to open the Whiteboard client and tap on the blue invite icon to invite more users into the board.
- In the invite section, click on three dots and choose the “Create sharing link” option.
- Tap on the “Web Sharing Link off” option.
- Now a unique link for sharing will be formed.
- Tap on the “Copy Link” to copy it on the clipboard.
Once the link is generated, you can send it to any organization or individual person. So when they click on the invited link, the board will launch. It will show the front page of the whiteboard app, so it
will be easy to access rather than returning to the board. However, if you toggle off the “web sharing link on” option, the existing link will be deleted. So whoever clicks on the already sent link will not be able to access the Whiteboard.
